Management of Customer Calls
All details of a customer call for service are recorded, including the time of the call, fault reported, and critical time for fixing the fault. The service manager can then allocate personnel to the job, recording the time started and finished. Worksheets are subsequently entered giving details of call-out charges, inventory used, travelling time, and labour hours.
Inventory of Customer Equipment
Each piece of equipment on a customer site can be fully described to give maintenance personnel detailed information prior to making any service calls.
On-Line Inventory Interface
Stock balances are automatically adjusted to reflect inventory used in a particular job. Each maintenance unit (e.g. an engineer or a service van) can requisition stock from the main stores and thereafter stock is depleted from their individual balance.
Automatic Invoicing
When entering each job the user determines if it is chargeable or if the customer has a maintenance contract. Chargeable jobs are automatically invoiced upon completion. Contract invoices are generated on a monthly basis. Both interface with the Debtors ledger.
Job Costing/Performance Reports/Excel Exports
Full details of labour and product costs are maintained for each job. Thus the comprehensive reports by customer site, maintenance personnel, and equipment allow the service manager to monitor service costs.Performance reports by site, contract etc., show details of response times along with reasons for any delays, or queries about a job.
Call Alerts to Mobile
Customer calls can be routed to the appropriate engineer via a sms to the engineers phone thus saving on phonecalls where clients don't have Orion Service Online.
